Adding New EFT Payment Templates

 

The EFT Payments Template Maintenance function enables you to set up payment templates for beneficiaries you pay on a regular basis. 

 

To create an EFT payment template:

1.     On the EFT Payment Template Maintenance screen, click on the Add Template button to access the Create an EFT Payment Template screen.

2.     Template IDs can accommodate up to 30 characters in length, allowing you to assign names that are relevant to your business needs.

3.     An expiry date can be entered for the template, allowing you to further control your payments.  When the expiry date arrives, the template will become inactive and you will be required to set a new expiry date to re-activate the template. You may also leave the field blank if an expiry date is not required.

4.     A pre-approved amount can be entered for the template.

Note:

·         Pre-approved templates must be approved by at least one authorized user.

·         Payments created using a pre-approved template that are within the pre-approved limit do not have to be approved before they can be submitted to the Bank.

5.     From the drop down list, select a Payment Group.

Payments created with the EFT service must be associated to a Payment Group.  The payment group provides the Agreement ID, Long Name, Short Name and Chargeback Account for all payments associated to that payment group.  This information cannot be modified for individual payments within the group.

6.     Enter the Institution Code and Transit of the Payee/Payor Bank and the Payee/Payor’s Account Number.

7.     You can enter an amount for the template.

Note: 

-         If an amount is entered when a template is set up, it cannot be changed when the template is used to create a payment.

-         The currency (CAD or USD) of the payment will default based on the Payment Group/Agreement ID selected.

8.     The type of payment (debit or credit) will default based on the Payment Group selected, but may be changed for an individual payment template.

9.     Enter the Name of the Payee/Payor.  If you enter the Payee/Payor address, it will be displayed on reports and included if you download your EFT Payment transactions.

10.     You must enter a Cross Reference for the Payee/Payor.

11.  The CPA code will default based on the Payment Group selected, but may be updated.

12.  You may enter the following Optional Information:

Payee/Payor Details

If entered, the following information will be displayed on reports of Pending EFT Payments and EFT Payment History and will be included when you download your EFT Payment transactions.

-         Contact name

-         Phone number

-         E-mail

-         Fax number

Additional Information

This field is for your internal use only.  Information that is entered will not be sent to the bank with the payment, but will be displayed on transaction reports and included when you download your EFT payment transactions.

13.  When you have finished entering the required information, click on the Save button at the top of the screen.

If all required information was entered correctly, the following message will appear:  “Template was successfully created”.

14.  Click ‘OK’.  The Create an EFT Payment Template screen will be refreshed.

15.  You can repeat steps 1 to 12 to enter another payment template

OR

Click on the Done button if you do not want to enter additional payment templates. 

16.  The template(s) you have created will be listed on the bottom half of the EFT Payment Template Maintenance screen.

 

Copying EFT Payment Templates

 

Using the Template Copy function on the EFT Payment Template Maintenance screen, you can create a template similar to one that was previously set up, without re-keying all of the information.

 

To copy a template:

1.       On the EFT Payment Template Maintenance screen, click on [copy] under the Action column next to the template you want to copy. 

The Create a EFT Payment Template screen will appear with the following fields populated:

·         Payment Group

·         Institution/Transit

·         Payee/Payor

·         CPA Code

·         Optional Payee/Payor Details

Note:  Any of this information may be changed to create a new template.

2.       You must enter information in the following fields:

·         Cross Reference

You may also choose to enter the following:

·         Pre-approved amount

·         Amount

·         Sundry Information

·         Additional Information

3.       When you have finished entering the required information, click on the Save button at the top of the screen.

If all required information was entered correctly, the following message will appear:  “Template was successfully created”.

4.       Click ‘OK’.  The template you have created will be listed on the bottom half of the EFT Payment Template Maintenance screen.
